Director, Event Management & Logistics
The overall objectives of this department will be the efficient management of all levels of production as it relates to NYRR events, while working with the Business Development & Marketing Strategies Department developing models that result in event services contributing to the overall profitability of the organization.
This position will report to the Vice President, Event Development and Production, and will be responsible for providing logistical as well as technical support for all NYRR races, including the ING New York City Marathon.
Major responsibilities include:
* Responsible for the overall event management, overseeing the logistical and technical planning aspects related to all NYRR events, including event timelines; event support budgets; signage installation plans; set and strike plans; labor, equipment and transportation support; timing and course certification plans; medical and customer service support; onsite communication plans; public safety and security plans; event critiques and wrap-ups
* Work with Vice President, Event Development and Production, developing business models to expand NYRR event consulting services for both domestic and international markets
* Serve as liaison to city agencies including Department of Transportation, Department of Parks and Recreation,
NYPD, FDNY, and Office of the Mayor. Coordinate services from city agencies as well as with both the State of New York and the federal government
* Oversee the process of filing and obtaining all necessary permits in order to conduct NYRR events at all desired locations
* Work closely with IT Department to insure onsite support is in place and systems are fully tested prior to the start of all races
* Assist with the development of entertainment production plans related to key NYRR events, providing logistical support with focus on presentation and value
* Assist with the development of a fully automated and integrated Event Business Management System with a focus on functionality necessary to manage the details of an entire event
* Manage entire Event Logistics Department and all direct reports
* Manage warehouse operations, maintaining accurate material inventory and monthly maintenance of event equipment
* Work in conjunction with the Marketing to support sponsorship initiatives as they relate to execution of NYRR events
* Work in conjunction with the Creative Services department to insure event elements are consistent with event them, paying particular attention to the positioning of NYRR brand
* Oversee event critique process, ensuring event managers prepare and circulate documents internally to key personnel on a timely basis
* Issue departmental status reports to Vice President, Event Development and Production on a weekly basis
* Assist with: the preparation of RFP's for outside vendor bidding; evaluation process; hiring and implementation
* Provide technical direction for the ING New York City Marathon. Your responsibilities will entail:
o Working in conjunction with VP Event Development & Production and CFO to create and maintain operational budget
o Insure all permitting and necessary documentation is approved and in place (amplified sound permits; vehicle permits; etc.)
o Establish entire staffing plan, with focus on support of key sponsor areas
o Create and manage timeline and responsibility grids
o Assist with set-up and strike of special events, such as press conferences; blue line painting; etc
o Oversee entire transportation, safety and communications plan
o Work in conjunction with Marketing Department to insure execution for all marketing programs related to event
o Responsible for race day coordination with key area personnel (Start; Course; Finish)
o Implement and manage plans for Family Reunion area
o Work closely with participant photographers (Brightroom) to insure placement along course and finish area are secured
o Written critique provided to VP Event Development & Production on a timely basis
Required Qualifications:
• Minimum 7+ years technical and logistical experience directly associated with established road races and track and field events of all distances and disciplines, including marathons
• Site planning and management experience. Oversee installation of all event elements
• Development and management of all race budgets. Required to work closely with CFO, initiating budget updates on a weekly basis. Fiscal acumen – ability to stay on budget. Financial background helpful
• Strong personal and communicative skills. Establish relationships with key NY city officials
• Supervisory skills required. Ability to oversee full time and part time staff, assigning workloads; assessing performances; preparing yearly reviews
• Ability to think quickly and decisively to sudden events/activities both in the office and in the field
• Excellent influencing and relationship building skills. Work as a team leader
• Warehousing and inventory control experience needed
• Forward thinker with the ability to work with NYRR IT Department to develop technological support systems for event management
• Ability to multi-task, willingness to travel, work long hours and various weekends
Manager level position within the Business Development and Marketing Partnership Department
Successful candidate will manage several sponsorship relationships which include the day to day management of the sponsor's association with NYRR events (including the ING New York City Marathon). Duties will include sponsorship activation; pre-event, on-site and post event, as well as event execution.
Report to the Director, Marketing Partnerships. Day-to-day liaison for many sponsorships, manage day-to-day relationship with client and multiple NYRR departments, ensure that contractual benefits promised to sponsor are fulfilled, have an understanding of how "this" event fits into the overall NYRR event / sponsorship plan.
This position requires the sometimes difficult balancing act of managing both the sponsor's and NYRR's marketing objectives. To accomplish this, the candidate must have experience with managing a sponsor's needs and requirements. Additional responsibilities include: estimating, planning and finalizing event P & Ls, working with the Event Operations and logistics department to execute a safe and successful event, delivering upon the promised sponsor benefits and elements, managing the time line, writing event scripts, developing a marketing plan and /or promotional plan with the client's and NYRR's resources, writing and presenting an event recap for the client and internal NYRR staff.
The candidate will also assist in the development of the renewal strategy for Marathon and weekly sponsorships (i.e. draft deal terms, review previous event/sponsorship, identify areas for improvement, etc.) In addition, the Manager will be responsible for representing NYRR's "interest" in the relationship/event (i.e. how NYRR can secure more branding, more exposure and more revenue).
To be successful in this position and at NYRR, the candidate should possess the following:

Assistant Manager, Special Events and Hospitality
The overall objectives of this department will be the efficient management of all levels of event production and hospitality as it relates to NYRR events, including: Travel and logistics management; program design; Exposition Management; budgeting and cost analysis.
This position will report to the Manager, Special Events and Hospitality, and will be responsible for assisting with the planning and execution of key NYRR events, from large-scale events such as the Barilla Marathon Eve which is open to over 35,000 marathon participants, as well as smaller intimate conferences and meetings. Additionally, the Assistant Manager will be responsible for the logistical management of any expos that may be planned in conjunction with NYRR events. The end result must be a first-class presentation with concentration on customer satisfaction while making sure all sponsor obligations are fulfilled.
Major responsibilities include:
• Work closely with Creative Services team to conceptualize and develop themed events that are in line with sponsor and consumer expectations
• Manage all elements of special events; including booking, scheduling and operational coordination
• Budget preparation and management
• Preparation of client proposals
• Ability to customize event to meet customer needs
• Present management with recommendations on site and vendor selections
• Oversee all travel arrangements for arriving and departing athletes and guests
• Monitor event quality and service, develop and oversee staff to ensure they are meeting/exceeding customer expectations

This position will report to the Vice President, Event Development and Production, and will be responsible for management of all hotel and travel contracts; the overall planning and execution of key NYRR events - from large-scale events such as the Barilla Marathon Eve which is open to over 35,000 marathon participants, as well as smaller intimate conferences and meetings. This position will work with NYRR Professional Athlete Department, arranging travel and accommodations for athletes and guests that may be invited to any special NYRR events. The end result must be a first-class presentation with concentration on customer satisfaction while making sure all sponsor obligations are fulfilled.
Major responsibilities include:
* Work closely with Business Development to negotiate hotel room blocks and/or booking of conference centers, managing the relationship with the hotels and travel agencies, and oversee the administration of all contracts
* Oversee all travel arrangements for arriving and departing athletes and guests
* Manage all elements of special events; including booking, scheduling and operational coordination
