Senior Manager, Event Management & Logistics
The overall objectives of this department will be the efficient management of all levels of production as it relates to NYRR events, while working with the Business Development & Marketing Strategies Department developing models that result in event services contributing to the overall profitability of the organization.
This position will report to the Director, Event Management & Logistics, and will be responsible for providing logistical support for all NYRR events, including the ING New York City Marathon.
Major responsibilities include:
Responsible for supervising Managers throughout the development and execution of logistical and planning aspects related to all NYRR events, including event timelines; event support budgets; signage installation plans; set and strike plans; labor, equipment and transportation support; timing and course certification plans; medical and customer service support; onsite communication plans; public safety and security plans; event critiques and wrap-ups
Coordinate event planning efforts with city agencies including Department of Transportation, Department of Parks and Recreation, NYPD, FDNY, and Office of the Mayor.
Manage the process of filing and obtaining all necessary permits in order to conduct NYRR events at all desired locations
Point person in creating the annual NYRR event calendar
Work closely with Director, Event Management & Logistic with the development of a fully automated and integrated Event Business Management System
Supervise all Event Managers, assigning workloads and special projects as necessary
Assign work schedules to volunteers, announcers and outside staff. Work with Finance with the processing of payroll for part time and casual workers
Insure all timelines and logistic planning documents are completed and routed in a timely manner
Oversee event P&L’s are updated on a timely basis. Work with VP in preparing various portions of the operating budget
Work in conjunction with IT Departments to insure all race scoring and registration needs are met
Assist Director, Event Management & Logistics with RFP process while establishing and maintaining viable vendor relations
Work in conjunction with the Marketing to support sponsorship initiatives as they relate to execution of NYRR events
Work in conjunction with the Creative Services department to insure event elements are consistent with event them, paying particular attention to the positioning of NYRR brand
Supervise event critique process, ensuring event managers prepare and circulate documents internally to key personnel on a timely basis
Work with closely with NYPD, preparing police escorts for key events
Submit weekly status report to upper management
ING New York City Marathon
Assist with coordination of city agency meetings; police escorts and other city needs
Distribution of marathon clothing to staff and city agencies
Responsible for complete planning and execution of all credential and ticketing processes and distribution
Coordinate Guaranteed Entry process as it relates to city agencies
Order press trucks for International Friendship Run
Liaison with Parks Special Events Manager regarding permits; placement of all structures and materials; sponsor requests; vehicle movement
Oversee installation of finish line seating
Oversee deliveries of medical supplies to all medical areas
Coordinate installation of both Photo and Pedestrian Bridges and Jumbotron
Responsible for ordering and placement of:
o Chemical Toilets
o Tents; tables; chairs; announcer platform
o Trailers; golf carts; supply containers
o Power and Sound (generators; light pole taps; heaters; wiring of trailers)
o Ice; additional finish food items; course balloons; fire boat paint; miscellaneous equipment
Work Director of Event Management & Logistics on layout and set-up of Finish Line Area
Oversee Finish Area on Race Day including all finish line tapes
Coordinate placement of participant photographers at pre & post finish line areas
REQUIREMENTS:
Minimum 5+ years technical and logistical experience directly associated with established road races and track and field events of all distances and disciplines, including marathons
Existing relationships with all New York City Agencies preferred
Site planning and management experience.
Development and management of all race budgets. Financial background helpful
Strong personal and communicative skills.
Supervisory skills required. Ability to oversee full time and part time staff, assigning workloads; assessing performances; preparing yearly reviews
Ability to think quickly and decisively to sudden events/activities both in the office and in the field
Excellent influencing and relationship building skills. Work as a team leader
Forward thinker with the ability to work with NYRR IT Department to develop technological support systems for event management
Ability to multi-task, willingness to travel, work long hours and various weekends
Computer skills necessary, including Word, Excel and PowerPoint. Auto Cad or Visio helpful
